Our Principles
Be welcoming — We want everyone to enjoy badminton in a friendly, inclusive and supportive environment.
Enjoy the game — Whether playing socially or in the league, enjoyment of badminton is at the heart of the Club.
Respect each other — Members, visitors and venue staff should always be treated with courtesy, respect and consideration.
Support the Club — KLBC is run by volunteers and succeeds because members are willing to help. Whether volunteering for a role, helping set up and clear away, welcoming new players or simply lending a hand when needed, every contribution helps keep the Club enjoyable and running smoothly.
Keep things simple — We aim to keep administration to the minimum needed to run the Club responsibly, safely and in line with our obligations as an affiliated club.
1. Introduction
Kings Langley Badminton Club ("KLBC") is a friendly community badminton club that provides opportunities for players of a range of abilities to enjoy badminton in a welcoming, inclusive and supportive environment.
The purpose of KLBC is to provide regular opportunities for members to play badminton, develop their skills, enjoy competitive opportunities where appropriate, and be part of a positive club community.
This Constitution and Membership Policy explains how KLBC operates, how membership works, and how the Club is managed.
2. Status of the Club
KLBC operates through Kings Langley Badminton Club Ltd, a company limited by guarantee.
The Company exists solely to operate and support Kings Langley Badminton Club for the benefit of its members.
KLBC is affiliated with Badminton England and operates in accordance with the requirements of that affiliation.
3. How the Club is Managed
KLBC is managed by the Directors of Kings Langley Badminton Club Ltd.
The Directors are responsible for ensuring that the Club operates effectively, safely and in the best interests of the Club and its members.
This includes responsibility for matters such as:
the organisation and operation of the Club;
membership arrangements;
fees and payments;
playing formats and session structures;
venues and facilities;
league participation;
safeguarding and welfare arrangements;
finances and administration;
policies and procedures; and
any other matters necessary for the effective running of the Club.
The Directors may appoint Club Members to undertake specific volunteer roles or responsibilities to support the day-to-day running of the Club. These appointments do not transfer the Directors' overall responsibility for the management of the Club.
The Directors may seek feedback, suggestions and opinions from Club Members where they consider this helpful. This may include informal discussions, surveys or polls. Member feedback is welcomed and helps inform decisions, but responsibility for managing the Club remains with the Directors.
Directors will declare any personal or financial interest in a matter being discussed and will not take part in deciding that matter where a conflict exists. Directors will meet periodically (at least once a year) to review how the Club is running, with safeguarding included as a standing item where relevant.
4. Company Members and Club Members
KLBC has two distinct types of membership.
4.1 Company Members
Company Members are the legal members of Kings Langley Badminton Club Ltd.
Their rights and responsibilities are defined by the Company's Articles of Association and applicable company law.
Company Membership is separate from membership of the badminton club.
4.2 Club Members
Club Members are individuals who have joined KLBC and participate in its activities.
Club Membership entitles members to participate in Club activities in accordance with this Policy and any related Club policies.
Club Membership does not confer Company Membership and does not give voting rights or decision-making authority in relation to the management or operation of the Club.
5. Joining KLBC
New players are welcome to attend KLBC as Trial Players before deciding whether to join.
Trial Players may attend up to four trial sessions before deciding whether they wish to become Club Members.
During the trial period, Trial Players pay the standard pay-as-you-play session fee.
Trial Players under the age of 18 pay the junior session fee referred to in Section 6, and their attendance is subject to the additional conditions for junior participation set out in the Safeguarding, Welfare and Junior Participation Policy, including prior agreement and the presence of a DBS-checked club official.
Anyone wishing to continue playing after the trial period must become a Club Member and complete any required registration processes.
The Directors may exercise reasonable discretion where additional time is required to complete membership or registration arrangements.
6. Club Membership
KLBC is primarily an adult badminton club but may permit junior participation where appropriate.
KLBC offers two membership options for adults, plus a further option for junior members under the age of 18.
Both adult options provide exactly the same Club Membership status and access to Club activities.
6.1 Annual Membership (aged 18 and over)
Annual Members pay an annual membership fee and benefit from a reduced session fee.
Current fees are:
Annual Membership: £60 per membership year
Club session fee: £7 per session
The membership year runs from 1 October to 30 September.
Members joining part-way through the membership year pay a reduced annual fee based on £5 per remaining full month.
Where a Trial Player joins as an Annual Member, trial session payments will be credited towards the annual membership fee at £3 per trial session, up to a maximum of four trial sessions.
6.2 Pay-As-You-Play Membership (aged 18 and over)
Pay-As-You-Play Members do not pay an annual membership fee.
Current fees are:
Annual Membership: £0
Club session fee: £10 per session
Pay-As-You-Play Members are full Club Members and are subject to the same expectations and policies as Annual Members.
Both membership options currently provide identical access to Club sessions and court bookings. If, in the future, the Directors consider that Pay-As-You-Play attendance is regularly limiting the ability of Annual Members to secure a game, they may introduce reasonable measures to address this — for example, priority or earlier booking access for Annual Members — where they consider it to be in the best interests of the Club. Any such measures would affect only booking arrangements and would not otherwise change the rights, status or fee structure of either membership type set out in this Constitution.
6.3 Junior Membership (under 18s only)
Junior Membership is only available to juniors who attend alongside a parent, guardian or other adult who is already an adult Club Member. Junior participation at KLBC is subject to additional conditions, including prior agreement and the presence of a DBS-checked club official, as set out in the Safeguarding, Welfare and Junior Participation Policy.
Because these conditions mean junior attendance cannot be guaranteed at every session, Junior Members are only able to join as Pay-As-You-Play Members.
Current fees are:
Annual Membership: not available to Junior Members
Club session fee: £5 per session (members under 18)
Junior Members are full Club Members and are subject to the same expectations and policies as other Club Members, alongside the additional conditions set out in the Safeguarding, Welfare and Junior Participation Policy.
The fee credit and pro-rata provisions described in Section 6.1 do not apply to Junior Members.
A Junior Member who turns 18 will move to the adult membership options and fees described in this Section from that point onward.
7. Badminton England Registration
As an affiliated Badminton England club, KLBC requires Club Members to maintain the appropriate Badminton England membership.
By becoming a Club Member, members agree to maintain any Badminton England membership required for participation in the Club and to comply with the applicable Badminton England regulations and policies where these apply to Club activities.
Members are responsible for completing and maintaining their own Badminton England registration and for ensuring that Kings Langley Badminton Club is selected as their affiliated club where appropriate.
The Directors may verify members' registration status and require any registration issues to be corrected before continued participation.
Trial Players are not required to register immediately. Anyone continuing as a Club Member must complete the appropriate Badminton England registration. This applies equally to Junior Members, who are subject to the same Badminton England registration requirements - including the trial period referred to in Section 5 - as adult members.
8. Membership Limits
KLBC aims to provide an enjoyable playing experience for all members whilst maintaining suitable court availability and a positive club atmosphere.
The Directors may limit, pause or close new memberships where they consider this necessary, including due to:
court capacity;
the number of active players;
maintaining an enjoyable playing environment;
operational considerations; or
any other matter affecting the effective running of the Club.
Where membership is limited, the Directors will determine how new applications are managed.
9. Playing Arrangements
KLBC aims to provide enjoyable and varied badminton opportunities for members of different abilities.
The Directors may determine how club sessions are organised, including:
court allocation;
player rotation systems;
session formats;
league participation;
coaching opportunities; and
other playing arrangements.
Members are expected to play in a way that supports an enjoyable experience for everyone.
10. League Badminton
KLBC may enter teams into local badminton leagues and competitions.
League badminton provides an opportunity for members who wish to experience a more competitive standard of play than is typically found at club sessions.
League matches can be challenging and are likely to involve playing against stronger opposition.
Selection and organisation of league teams is managed by the Directors or nominated team organisers.
11. Welfare, Safeguarding and Junior Participation
KLBC is primarily an adult badminton club but may permit junior participation where appropriate.
The Club will appoint a Club Welfare Officer in accordance with Badminton England requirements.
Any junior participation and all safeguarding arrangements will be managed in accordance with the KLBC Safeguarding, Welfare and Junior Participation Policy.
12. Member Behaviour
Kings Langley Badminton Club aims to provide a friendly, welcoming and respectful environment for everyone.
Members are expected to behave in a manner that supports these values and contributes positively to the enjoyment of the Club.
The expectations of members are set out in the KLBC Code of Conduct, which forms part of the Club's governance framework.
13. Suspension or Ending Membership
The Directors may suspend or end a person's Club Membership where they consider this necessary for the proper running of the Club or for the wellbeing, safety or enjoyment of other members.
This may include, but is not limited to:
repeated failure to follow Club policies;
behaviour that negatively affects other members;
conduct that creates an unsafe, intimidating or uncomfortable environment;
failure to meet membership or Badminton England registration requirements; or
any other circumstance where the Directors consider continued membership not to be in the best interests of the Club.
Where appropriate, the Directors will seek to resolve concerns informally before taking such action.
Any decision to suspend or end membership will be made by the Directors acting in the best interests of the Club.
A member who disagrees with such a decision may ask the Board of Directors to review it. The Directors will consider any such request but retain the final decision-making authority.
14. Annual Club Meeting
KLBC will hold an Annual Club Meeting each year to provide members with an update on the Club's activities, finances and future plans.
Members are encouraged to attend and may submit questions, suggestions or topics for discussion in advance.
The Annual Club Meeting provides an opportunity for communication and engagement between the Directors and Club Members. It is separate from any meeting of the Company Members of Kings Langley Badminton Club Ltd that may be required under the Companies Act and the Company’s Articles of Association, and does not itself involve votes or resolutions of Club Members.
Responsibility for the management and operation of the Club remains with the Directors.
15. Finance
KLBC operates on a not-for-profit basis for the benefit of its members.
Club income is used solely to support the operation and development of Kings Langley Badminton Club and Kings Langley Badminton Club Ltd. This may include, but is not limited to:
venue hire;
shuttlecocks and badminton equipment;
Badminton England affiliation and membership-related costs;
league and competition costs;
company administration and statutory compliance;
website, domain names, email and technology costs;
banking and financial administration; and
any other reasonable costs incurred in operating and developing the Club.
The Directors are responsible for ensuring that the Club's finances are managed appropriately. The Club's bank account requires two authorised signatories for payments, and receipts or invoices will be kept for Club expenditure.
Insurance cover for Club activities, including public liability, is provided through the Club's Badminton England affiliation and through individual members' own Badminton England membership. The exact scope of cover depends on the type of Badminton England membership each individual holds.
16. Changes to this Policy
The Directors may review and update this Constitution and Membership Policy where necessary to ensure it remains suitable for the effective operation of KLBC.
Where proposed changes materially affect Club Members, the Directors may seek member feedback before implementing them.
The current version of this Policy will be published on the Club website.
